It is Saturday morning in Rabat. A perfume shop sends "PROMO -30% SUR TOUT !!! 🔥🔥🔥" to 800 customers. By the evening it has 6 replies, 14 people asking to stop, and no orders it can trace. The next week the owner sends a short, personal message about one new scent to the 120 people who bought from the same brand. Twenty-two reply, and nine order. The difference is the template.
Good WhatsApp broadcast message templates are short, personal and built around one question. Below you will find the structure behind them and ready samples in French, Arabic, Darija and English for the moments shops message customers most: welcomes, orders, offers, restocks, win-backs and seasons.
What makes a broadcast template get replies
Every template below follows the same five parts:
- Name and sender: "Salam Nadia, c'est Imane de la boutique." People reply to people, not to logos.
- The reason you are writing: something tied to them, such as a past order or a request they made.
- One offer or one piece of news: not the whole catalogue.
- One easy question: "Je vous la réserve ?" A question invites a reply, and a reply starts a sale.
- A way to stop: on marketing messages, a short opt-out line.
Keep the text under about 60 words. Use one or two emoji, not ten. Add a photo when the product is the message, and a short video only when it shows something a photo cannot. The words in [brackets] are the parts you change for each customer or group.
Welcome and opt-in confirmation templates
Send this right after someone joins your list through a form, a QR code or a checkout checkbox. It confirms the opt-in, sets expectations and asks them to save your number.
Hi [first name], thanks for joining [shop] on WhatsApp. I'm [your name], and I'll send you new arrivals and offers 2 or 3 times a month. Save this number so you see them. Reply STOP anytime to opt out.
Say how often you will write, then keep that promise. For more ways to bring people onto the list, see our guide on how to grow a WhatsApp contact list with opt-in.
Order and cash on delivery templates
These are service messages. Customers expect them and read them. For cash on delivery shops, they also reduce refused parcels, because a customer who confirmed in writing is more likely to be home with the money ready.
Order confirmation
Out for delivery
After delivery
Hi [first name], your [product] should have arrived. Is everything as you expected? If you have a minute, a photo or a short review helps us a lot.
The full flow, with the timing of each step, is in our guide to WhatsApp order confirmation for cash on delivery.
Promotion and new arrival templates
Send these to a group that has a reason to care: past buyers of the same brand, or people who asked about the category.
Hi [first name], [new product] just landed at [shop], and you're among the first to hear. [Offer] until Sunday for customers who bought [category] with us. Want me to send a photo? Reply STOP to opt out of offers.
Notice what is missing: no "LAST CHANCE", no capital letters, no five links. A real deadline and a real reason are enough.
Back in stock and win-back templates
Back in stock
Send this only to people who asked to be told. Because they asked, it is often the message with the best reply rate of the month.
Win-back for quiet customers
For customers with no order in six months. Keep the tone light and give a concrete reason to come back.
Hi [first name], it's [your name] from [shop]. It's been a while! We've added [new category] since your last order, and here's [small offer] on your next one until [date]. Anything you're looking for at the moment?
Send a win-back once. If there is no reply, move the contact to a lower-frequency group instead of trying again next week.
Seasonal templates: Ramadan, Eid and Black Friday
Seasonal messages work when they feel human, not like a mass ad. Send them a few days before the peak, not on the day itself, so customers have time to order and receive the parcel.
During Ramadan, do not send around iftar or late at night. Late morning, or an hour or two after iftar, usually works better. On Eid itself, a short greeting with no offer is often the message customers remember.
How to test and improve your templates
Do not guess which version works. Split a group in two, send version A to one half and version B to the other, and compare after 24 hours. Change one thing at a time: the opening line, the question or the image.
| What to measure | How to read it |
|---|---|
| Reply rate | The main sign the message landed. Compare with past campaigns to the same group. |
| Orders from replies | Shows whether the offer was right, not just the wording. |
| Opt-outs | As a rule of thumb, above 1 to 2% of a group means the timing or the message missed. |
| Questions asked | Repeated questions about price, size or delivery belong in the next version. |
When many people ask the same thing after a broadcast, answer it once with an automatic reply. Our guide to WhatsApp auto reply messages has examples. Before you send any template to a big list, read how to do WhatsApp bulk messaging without getting banned. Even a perfect message can hurt your number if it goes too fast to people who did not ask for it.
IGNIPOST Chat stores these as reusable message templates with text, emoji, images, documents or video captions, and its AI assistant drafts variants you can compare before you launch a campaign. Frequently asked questions
How long should a WhatsApp broadcast message be?
Aim for 30 to 60 words. That fits on one phone screen without scrolling and leaves room for a photo. Put the reason you are writing in the first line, since many people only read the notification preview. If you need to share more detail, such as sizes or delivery conditions, send it as a follow-up once the customer replies.
Should I write templates in French, Arabic or Darija?
Write in the language the customer uses with you. Tag each contact's language when they first write, then build one group per language and one version of each template. In Morocco many customers prefer Darija for casual messages and French for order details. Customers in the Gulf may prefer Arabic or English, and buyers in France or Belgium expect French.
Do I need to include an opt-out line in every message?
Include one in every marketing message, such as offers, new arrivals and win-backs. Service messages like order confirmations do not need it, because the customer is waiting for them. A short line such as "Reply STOP to opt out" gives people an easy choice and makes them less likely to block or report your number.
Can I use the same template for every customer?
You can reuse the structure, but change the details. Swap in the customer's name, the product they bought, their city and an offer that fits their group. Identical text sent to hundreds of people reads like spam to customers. Keep two or three versions of each template and rotate them across a campaign so no two halves of the list get exactly the same words.
Are these the same as official WhatsApp message templates?
Not exactly. On the official WhatsApp Business Platform, a template is a message format Meta must approve before you can use it to start a conversation outside the 24-hour customer service window, and each delivered template is charged at a rate set by category and country. The templates here are drafts for any sending method. Their structure works in both cases.
