A shop in Marrakech ships 100 cash on delivery orders on Monday. By Thursday, 22 parcels are back. Some customers never answered the courier. Some said they never ordered. The shop paid delivery both ways on each one. A short WhatsApp order confirmation, sent minutes after each order, would have caught many of these before the parcels left.
Here is a confirmation flow for cash on delivery shops in Morocco, Africa and the Middle East, with timing, scripts in four languages and the numbers to track.
Why cash on delivery orders get refused
With cash on delivery, the customer pays nothing until the courier arrives, so changing their mind costs them nothing. Refusal rates vary a lot by country, product and traffic source. COD sellers often describe rates anywhere from about 10% to 40% before they start confirming orders. Treat that as a rough picture, not a benchmark, and measure your own.
The common causes are simple:
- Impulse orders. The customer ordered at midnight and forgot by morning.
- Wrong or partial details. A missing neighbourhood, a phone number with one digit wrong.
- Price surprise. The delivery fee or the total was not clear.
- Not reachable. The courier calls once, then gives up.
- Fake or joke orders. Someone filled the form with a friend's number.
Each of these shows up in a confirmation chat, before the parcel leaves.
The WhatsApp order confirmation flow, step by step
- Tell the customer at checkout. Under the phone field: "We will confirm your order on WhatsApp." Then the message is expected, not a surprise.
- Send the confirmation within 5 to 15 minutes. Include the product, size or colour, the total with delivery, the city and the payment method. Ask for a simple reply: 1 to confirm, 2 to change, 3 to cancel.
- Act on the answer. 1 moves the order to "confirmed". 2 goes to a person who fixes the address or size. 3 cancels the order before anyone packs it.
- Remind once if there is no reply. After 3 to 4 hours, send one short reminder. If there is still nothing by the end of the day, a team member calls.
- Ship only confirmed orders. Unconfirmed orders wait a day, then get a last call or a cancellation.
- Send a dispatch message. The courier company, the expected day and the amount to prepare in cash.
- Send a short note on delivery day. "Your parcel arrives today between 10:00 and 14:00. Please keep 249 MAD ready."
Timing that works
| When | Message | Goal |
|---|---|---|
| 5 to 15 minutes after the order | Order summary, reply 1, 2 or 3 | Confirm while the customer still remembers |
| 3 to 4 hours later, if no reply | One short reminder | Catch people who were busy |
| End of the day, still no reply | Phone call by a person | Last check before cancelling |
| When the parcel leaves | Dispatch message with courier and amount | Prepare the cash, expect the call |
| Morning of delivery | Time window and amount | Be home and answer the courier |
Respect the clock. A confirmation at 23:30 for an order placed at 23:25 is fine. A reminder at 23:30 for a morning order is not. Send reminders in daytime hours, and be thoughtful around Friday prayers and, during Ramadan, iftar.

Leave out discounts, upsells and product links. A confirmation has one job. Our WhatsApp customer service best practices cover how to handle the "2" replies that need a person.
Automating confirmations without losing the human touch
Typing confirmations by hand works at 10 orders a day. At 80 it is a full-time job. The usual setup has three parts:
- A trigger from your shop. When an order is created, your store sends the order data to a WhatsApp tool through its API or a webhook, and the tool sends the confirmation from your number.
- A keyword chatbot for the answers. It catches "1", but customers also write "oui", "wakha", "ok", "نعم" or "confirm". A rule that matches any of these words saves a lot of manual sorting. A fallback reply catches everything else and passes it to a person.
- A shared inbox for the exceptions. Address changes, questions and complaints go to the team, who can see the whole order chat.
For the chatbot side, see how to build a WhatsApp chatbot for your business.
Keep your number safe
Order confirmations are expected messages, so they carry the lowest risk. A few rules still matter.
Tools that connect a normal WhatsApp number work through the WhatsApp Web protocol. WhatsApp can restrict or ban numbers that send spam or messages people did not ask for, and no tool can guarantee that a number will not be banned. If you need the official route with WhatsApp's approved templates, compare the options in WhatsApp Business API vs WhatsApp Web tools.
- Send confirmations only to people who placed an order and saw the WhatsApp notice at checkout.
- Use a number with real chat history. A brand-new number that sends 200 messages on day one looks like spam.
- Keep each message personal: name, product, price. Identical blasts look automated.
- Do not add buyers' phone numbers to marketing campaigns unless they opted in to marketing separately.
If you later run campaigns, follow the volume and delay advice in WhatsApp bulk messaging without getting banned.
What to track
Run the flow for a month and look at these numbers each week:
- Confirmation rate: confirmed orders divided by all orders.
- No-reply rate: orders that answered neither the message nor the call.
- Refusal rate after confirmation: confirmed parcels that still came back. This is the number that costs you money.
- Time to confirm: minutes from the order to the customer's "1".
- Refusals by product, city and ad: one product or one campaign often drives most of the refusals.
If confirmed orders still come back, check the product photos and delivery time. If one city refuses more, check the courier there. If one ad brings orders that never confirm, it attracts clicks, not buyers.
IGNIPOST Chat can run this flow on a normal WhatsApp or WhatsApp Business number: your shop calls its API or a webhook when an order is created, the keyword chatbot reads the replies, the team handles exceptions in the live chat inbox, and the activity log lists every delivery. See the pricing page for plans, or contact the team if you want help mapping it to your store.
Frequently asked questions
How soon should I send a WhatsApp order confirmation?
Within 5 to 15 minutes of the order, while the customer still has the purchase in mind. Later messages tend to get fewer replies because the customer has moved on. If there is no answer, send one reminder 3 to 4 hours later and have a person call before the end of the day. Hold reminders overnight so you do not wake anyone.
Do I need consent to send order confirmations on WhatsApp?
A message about an order the customer just placed is a service message, not marketing, but the customer should know it is coming. Add a short line under the phone field at checkout saying you confirm orders on WhatsApp, and mention it in your privacy policy. Marketing messages to the same number need separate consent where the law requires it.
What if the customer does not reply to the confirmation?
Send one reminder, then have a person call before the end of the day. Many customers simply missed the message. If you still cannot reach them, hold the order for a day and then cancel it under a clear written rule. Shipping unconfirmed orders is where a large share of refused parcels and wasted delivery fees comes from.
Will WhatsApp order confirmation stop all refused parcels?
No. Some customers confirm and still refuse, because they changed their mind, found the product cheaper elsewhere or were not at home. Confirmation removes the easy cases: fake orders, wrong addresses and price surprises. Track refusals after confirmation by product, city and ad to find the remaining causes, which are often photos, delivery time or courier quality.
